Job Description

Responsible to ensure Sign on / off of seafarers in the DMW/POEA is done within time limits
Responsible to prepare and file Job orders / Client accreditation, OEC Processing and License renewal at POEA
Responsible to coordinate with various shipping administrations / agencies to obtain crew flag documents
Responsible to ensure that team leaders carry out audits and submit reports as per set time lines

Qualifications for recruitment

Required qualifications:
• Graduates in any discipline from any university
• Must have a shipping background & experience in job related activities
• Must be very experience with the processes in DMW / POEA
• Flagstate background is preferred
• 6 years’ experience in related job profile
• Excellent communication skills (English – Written & Spoken)

• Exposure to maximum flag state administrations
• Shipping related value added courses
• Exposure to various audits and compliances matters

Work Activities
  1. Assists line Manager to ensure smooth operations
  2. Responsible to arrange & conduct various audits related to compliance
  3. Responsible to arrange & registry of vessels in POEA and deal with all complains and issues related
  4. Responsible to ensure that audits are carried out as per the set guidelines & times lines
  5. Responsible to ensure that team leaders carry out internal audits and submit reports as per set time lines
  6. Responsible to ensure that manuals, process flow charts and other related documents are updated and revisions made and recorded as required.
  7. Responsible to ensure that all vessels in the fleet comply with the required crewing POEA & flag state documentation.
  8. Responsible to ensure that vessel is in compliance with crew flag state documents at all times.
  9. Responsible to coordinate with various flag administrations / agencies to obtain crew flag documents.
  10. Communication with Masters of vessels / Ship owner representatives in matters related to POEA, flag documents, RPSL / ISO / Ship Owner / Ship Manager related audits / compliances matters.
  11. Communication with various related external / internal authorities pertaining to POEA compliance & crew flag state documentation matters.
  12. Responsible to ensure Sign on / off of seafarers done within time limits in government systems.
  13. Responsible to ensure compliance with AMOSUP/ITF requirements.
  14. Responsible to ensure compliance *Social Program Compensation – payment of contribution
  15. Approval of flag state documents related invoices.
  16. Facilitating processing of seafarer’s POEA Contract of Employment as well as recording of processed contract.
    (1) Facilitate with POEA the following:

a. Vessel enrollment,
b. Change of vessel’s name,
c. Change of vessel’s management,
d. Change of vessel’s flag,
e. Change of vessel’s salary scale,
f. Renewal of License to Operate.
(2) Coordinating with Accounting Department regarding all fees related to Manning activities.

• Initiate the prevention of non-conformance within the department and report to president/manning Director .
• Implement the Quality Management System within the department
